Wilf Family Center Policies

Scheduling Priority and Permissible Uses

The highest priority for use of the Wilf Family Center is activities that serve the educational mission of the Department of Pediatrics toward its trainees and its patients. After academic and patient/family needs are met, spaces may be used for activities that are consistent with or complement the mission of University of Minnesota Masonic Children's Hospital. This space may be used for administrative meetings. However, if a higher priority academic or patient/family activity seeks use of the conference center more than six weeks in advance, a conflicting administrative meeting may be asked to move to another venue.

These spaces cannot be used for activities that are primarily commercial, political, involve gambling, or are religious in nature. Fundraising or selling of products that benefit organizations outside our affiliated foundations is not allowed. We reserve the right to review proposed activities and refuse rental for non-permissible uses.

Reservation requests must be made at least 10 business days prior to the activity.


Food and Catering

Personal food and beverage are allowed. Outside caterers can be utilized provided they have the appropriate food permit. Alcohol is not permitted in the center.

Users are responsible for ensuring that:
  • Enough tables are requested for catering needs
  • Catering equipment/supplies are promptly removed after the activity
  • Spills must be reported immediately to Fairview Environmental Services: 612-273-4245
  • Users will be charged for professional cleaning services, or damaged furniture/carpet as applicable. Users who repeatedly damage the space will no longer be allowed to submit reservation requests.

Parking

Parking needs must be communicated by the User directly to the Fairview Parking Office once the User has received their reservation confirmation letter. Please follow the parking communication guidelines below. Note these guidelines apply to self-parking attendees only. All valet requests of any amount must be communicated to the Fairview Parking Office at least two weeks in advance of the activity.

For reservations Monday - Friday between 6 a.m. and 5 p.m. that require less than 25 extra parking spaces:
Users are not required to notify the Fairview Parking Office. Self-parking attendees should park in the Red Ramp at 616 24th Ave S, Minneapolis MN, 55454. (map) Parking rates are $12 full day, $7 half day.

For reservations Monday - Friday between 6 a.m. and 5 p.m. that require 25 or more extra parking spaces:
Users must notify the Fairview Parking Office at least two weeks in advance of the activity, then the parking office will communicate the parking location for attendees.

For reservations Monday - Friday after 5 p.m. and on weekends that require less than 25 extra parking spaces:
Users are not required to notify the Fairview Parking Office. Self-parking attendees should park in the Green Garage, at 2450 Riverside Ave, Minneapolis MN, 55454. (map) Parking rates are $12 full day, $7 half-day.

For reservations Monday - Friday after 5 p.m. and on weekends that require 25 or more extra parking spaces:
Users must notify the Fairview Parking Office at least two weeks in advance of the activity, then the parking office will communicate the parking location for attendees.

To buy parking vouchers, complete this form and email it to the Fairview Parking Office. Parking needs and questions can be directed to the Fairview Parking Office main contact, Sher Vang, Manager, 612-273-7275. 


Equipment, Technology, Supplies, and Furniture

Additional equipment, supplies, and furniture are available upon request. Materials are shared amongst all conference center users so requests are met as available. To guarantee your needs are met, be specific about your needs in your request.


Room Security and Damages

Rooms and spaces are inspected prior to and after each activity. Users are responsible for following room security guidelines for their space, removal of additional equipment or food services, and any damage that occurs during usage. If the User neglects to remove any equipment or supplies brought in for their activity (this includes disposal of catering refuse), additional service fees may be charged.

Any additional furniture or equipment beyond what is listed in the room specifications must be provided by the User and promptly removed at the conclusion of the rental period. Under no circumstances is furniture to be removed from adjacent areas. Seating/chairs may not be added to exceed stated capacity. Tables or equipment cannot be placed close to entrances blocking access. All fire lanes must remain clear.


Noise Level

Amplified music/sound equipment other than the equipment provided is not allowed in the conference space without prior approval from the Center Manager. 


Posting and Banner Policies

Posting activity information or banners is not allowed on any conference center surfaces. To share information about your upcoming activity on the digital signage board, contact Dani Hans, Center Manager. Violators may be billed for the costs of cleanup or repairs resulting from inappropriate posting or use of adhesives; violators may lose future distribution privileges.

The Wilf Family Center does not have staff offices onsite. Center staff can be scheduled to provide onsite support outside of standard hours on a case-by-case basis. 

Dani Hans, Center Manager: The Center Manager is available by appointment Monday through Friday, between 9 a.m. to 5:30 p.m., and is available at 612-625-7202, hansx008@umn.edu

Responsibilities:

  • Primary contact for Wilf Family Center users
  • Process reservation requests, contracts, invoices, and payments
  • Ensure policy compliance
  • Facilitate client experience and resources
  • Provide walkthroughs and tours
  • Manage website
Keith Tromiczak, A/V Manager: The A/V Technical Team is on-call Monday through Friday, between 7 a.m. and 3:30 p.m., and is available at 612-273-6422, ktromic1@fairview.org.

Responsibilities:

  • Primary contact for A/V and technology needs
  • Technology set-up prior to activity
  • On-call support for lighting, audio, video conferencing, and broadcasting systems
  • Configure virtual meeting spaces
  • Provide consultation for activity technology
  • User training
